My client a Boutique International Financial Company, based in the heart of the West End, are seeking a new Office Manager/PA.

You will be part of a small but friendly organisation supporting a VP on a 1:1 basis and then Office Management throughout.

They are seeking an individual who is efficient, warm and friendly and possesses high attention to detail.

Duties include:
• Booking all Travel, visas and accommodation
• Calendar management for assigned managers
• Receive and manage all incoming calls to office and greet visitors to office
• Organising events/dinners for GPs/LPs
• Managing Landlord and problems with the office
• Business Rates (Tax)
• IT problem solving with help from US and managing third party suppliers
• Office refurbishment/buying new furniture
• Sourcing new suppliers (e.g. for Printer)
• Office stationery and supplies
• Health and Safety
• Office Finance
• Expenses
• Organising Couriers
• Sending mass emails using CRM system – follow ups on mass emails
• Meeting Scheduling
• Preparing reports in Salesforce
• Preparing Briefing Notes for every investor meeting
• Entering new contacts and companies in Salesforce, updating profiles/company info on a regular basis
• Assisting with NDAs and filing appropriately
• Directing incoming calls to relevant contact either in London / Globally
• Saving materials from/to GPs down in the correct shared folder
• Editing/proofreading marketing plans / presentations
• Negotiating prices for and booking Conferences
• Printing and binding Eaton Pitch books
Candidate specification
• Experience within a Financial or Corporate organisation
• Minimum 1 year’s experience as a PA/Office Manager
